How do I find out which AI tools my employees are using?

The short answer

Ask your employees, anonymously, and compare what they say with what your own records show. Owners and managers usually underestimate AI use, because employees who are not sure it is allowed keep quiet about it. An anonymous survey, a look at subscriptions and expense claims, and a conversation with each manager together give a fair picture.

Why the owner’s view is usually low

Most AI use starts on personal accounts and phones, outside anything the company can see. Employees who suspect it is against a rule nobody has written down do not volunteer it. The result is a gap between what management believes and what is happening, and that gap is where the risk sits.

Three sources of evidence

  • An anonymous survey of employees: which tools they use, what kinds of information they have entered, and whether anyone has told them the rules.
  • Your own records: software subscriptions, expense claims, browser extensions and sign-in logs, if you have them.
  • Managers: ask each one what their team uses, then compare their answer with their team’s.

Making it safe to answer

People answer honestly when they believe the answers cannot be traced to them and will not be used against them. Collect no names, show results only as totals across a group large enough that no one can be singled out, and say plainly that past use is not being punished: the point is to set rules that fit how work is done.
